Invoicing, Reconciliation and GST in One Workflow
This page covers what Flentique does day to day: raising invoices, matching bank transactions, filing GST, and keeping records that survive an IRAS query. Each section below follows one workflow from the screen it starts on to the filing it ends at.
Where the work actually happens
One ledger, four recurring jobs, and a filing deadline that does not move
Most finance teams in Singapore are not short of software. They are short of a place where the invoice, the bank line, the GST line and the tax return agree with each other. Flentique keeps those four jobs on one ledger so the numbers you send to IRAS are the same numbers your director saw at month end, not a re-typed copy of them.
Below, each feature is described as a workflow: what starts it, what you do on screen, and where the record ends up. If you already know which part of your month is slowest, jump to that section and compare it against how you work now.
Invoice automation
Invoicing that starts structured
Every invoice begins with the customer record. If that customer is on InvoiceNow, the invoice goes out as a structured e-invoice over the Peppol network instead of a PDF attachment, and payment status flows back to the same record. You stop chasing receivables across a portal and an inbox, because the status you need is already on the line item you raised.
Customers who are not yet on the network receive a standard invoice generated from the same template, so switching a client onto structured invoicing later does not mean re-entering their history. Recurring invoices, credit notes and multi-currency billing live in the same place, which matters if you bill overseas clients in USD or EUR and still need the SGD ledger to reconcile.
On one customer record
Payment status returns to the invoice record, so ageing reports reflect what has actually been paid rather than what was last chased by email.
Bank reconciliation without the spreadsheet
Flentique connects to your bank feed so transactions arrive automatically. You match them against invoices and expenses, and the platform learns your patterns over time so common entries are suggested rather than typed from scratch. For Singapore businesses running several accounts, each feed reconciles independently and rolls up into one set of books.
The reconciliation screen separates what is unmatched, what is partially matched, and what has been sitting unreconciled for too long. That last group is usually the first thing an accountant opens on a Monday morning, so it is deliberately the easiest thing to find here.
Matched lines settle; unmatched lines stay flagged until they clear
GST reporting at the transaction level
GST is tracked per line item, so an invoice that mixes standard-rated and zero-rated supplies reports correctly without anyone splitting it by hand afterwards. Exempt supplies and out-of-scope transactions are flagged as such at entry, which means the return is assembled from decisions already made rather than reconstructed at quarter end.
When the filing period closes, the GST return is prepared from the same data you have been entering all quarter. There is no separate reconciliation step where the return figures and the ledger figures diverge, because there is only one set of figures. For businesses approaching the GST registration threshold, the platform tracks turnover so you can see where you stand before the deadline decides it for you.
The practical test of any GST reporting setup is whether the number on the return can be traced back to a source document. Here it can: every line in the return opens onto the transactions that produced it.
What the return is built from
A chart of accounts that matches your accountant's format
Flentique ships with a default chart of accounts suited to Singapore SMEs, and every account in it is editable. If your accountant works with a specific structure, you can mirror it rather than adapting your books to someone else's template at year end. Accounts can be grouped for management reporting while keeping the detail your tax filing needs, so one account serves both readers.
Changes to the chart are logged, so if a mapping shifts mid-year there is a record of when it changed and why. This is the part most businesses underestimate: a chart of accounts that matches your accountant's expectations saves hours at year end, and a chart that quietly drifted is what turns a routine review into an afternoon of questions.
Default Singapore chart
Ships ready for an SME filing position, with the accounts you are most likely to use already mapped.
Editable structure
Mirror the layout your accountant already works in, without breaking the tax detail underneath.
Grouping for management
Roll accounts up for board reporting while the transaction detail stays intact.
Logged changes
A dated record of what moved, so a mid-year mapping change is explainable later.
IRAS seamless filing from inside the platform
Supported tax returns can be prepared and submitted to IRAS directly from Flentique under the Seamless Filing From Software program. You do not re-key figures into myTax Portal. The return is generated from your ledger, reviewed, then transmitted, and a record of the submission stays in the system.
For Form C-S filers, this removes the manual step where figures are copied from a report into a portal field and something gets transposed on the way. What was filed, and when, stays visible in the platform, so a question months later has an answer that takes seconds to find.
What stays in the platform
Form C-S filing and GST submission workflows are both covered by the same program, so the two deadlines do not need two different routines.
Expense tracking and staff claims
Expenses can be captured from a mobile photo of a receipt, categorised, and attached to the right account without a trip back to the office. Staff claims route through an approval step before posting, so reimbursements do not distort your books mid-month and a claim cannot land in the ledger before someone has looked at it.
GST on expenses is captured separately where it applies, which matters when you claim input tax and need the supporting detail to be in the right place from the start. For companies with field staff or frequent travel, mobile capture is usually the difference between receipts filed the same day and receipts reconstructed from a bank statement three months later.
Capture from a phone
Photograph the receipt where the spend happened; the image stays attached to the line.
Categorise once
Assign the account at entry so month-end does not become a sorting exercise.
Approve before posting
Claims move through an approval step, so nothing hits the books unreviewed.
Separate input tax
Where GST applies to an expense, it is held separately for the input tax claim.
Reporting you can hand to a director or a bank
The standard reports are there: profit and loss, balance sheet, cash flow, aged receivables and payables, and GST summaries. They can be run for any period, compared against prior periods, and exported, so a board pack is assembled from the same ledger the return was filed from.
For SMEs applying for financing, a clean set of reports produced from the system is easier for a bank to work with than a spreadsheet assembled by hand, because the figures can be traced back to transactions. Multi-entity businesses can run consolidated reports across entities without merging files manually first.
What the trail records
The activity record remains after access is revoked, so a departed user's changes are still attributable.
User access and audit trail
You control who sees what. An external accountant can be granted access to the books without access to payroll or banking details, which is often the condition a business needs before it will hand over the ledger at all. Every change to a transaction is logged with a timestamp and the user who made it.
For companies preparing for an audit, or responding to an IRAS query, that trail is the difference between a quick answer and a reconstruction exercise. Access can be revoked when a staff member leaves, and the record of their activity stays in place.
Where this fits if you outgrow it
Flentique is built for SMEs and multi-entity operations that need clean compliance, and that is the job it is meant to do well. If your business eventually needs integrated manufacturing, inventory or logistics processes running in the same system as finance, that is the point where ERP platforms such as SAP Business One enter the conversation. It is a different scale of implementation, with a different timeline and a different budget.
Until then, a focused cloud accounting platform handles the accounting and tax workflow with less overhead, and it is honest to say so rather than pretend one system covers both stages. If you are weighing that decision now, our team can talk through where your operation currently sits.
Stay on Flentique when
Your needs are invoicing, reconciliation, GST, filing and reporting, and you want the compliance workflow kept tight and low-overhead.
Look at ERP when
Manufacturing, inventory or logistics have to run inside the same system as finance, and the finance layer is no longer the whole project.
Common questions
Answers before you book a walkthrough
If your question is not here, the Singapore support team can answer it directly during working hours.
Can Flentique file GST and Form C-S directly with IRAS?
Supported returns can be prepared and submitted through the Seamless Filing From Software program, which covers Form C-S filing and GST submission workflows.
Does it support InvoiceNow?
Yes. Invoices can be sent as structured e-invoices over the Peppol network, with payment status returning to the same record.
Can my accountant access the books?
You can grant an external accountant access to the ledger without exposing payroll or banking details. Every change is logged.
What happens if I need ERP features later?
Flentique handles SME accounting and compliance. Businesses that need integrated operations and finance typically move to an ERP platform at that stage, which is a separate implementation.
See the workflow on your own books before you commit
A setup walkthrough takes your current chart of accounts, GST position and bank feeds, and shows where each one lands in Flentique. If something does not fit how you work, that is worth knowing before a migration rather than after one.
Support runs Monday to Friday, 9:00 AM to 6:00 PM SGT. Reach the team at contact Flentique or call +65 6246 6837.
