Flentique Cloud Accounting

Privacy Policy

How Flentique handles personal data collected through flentique.com and through the Flentique cloud accounting platform.

Current version published on this page Applies to website visitors and platform users

What this policy covers

This policy describes how Flentique ("we", "us") handles personal data collected through flentique.com and through the Flentique cloud accounting platform. It applies to visitors to this website and to users of the service. It does not cover data processed by third parties under their own policies.

Ten short sections follow. Each one explains a single part of the arrangement, so you can read only what applies to you.

Data we collect

We collect information you provide directly: name, company name, UEN, email address, phone number, and the content of enquiries submitted through the contact form. When you send an enquiry, those fields are what we receive — nothing is added behind your back.

If you become a customer, we collect the registration details, financial records, and user information necessary to provide the accounting service. That includes the transaction and document data you or your team place into the platform, because an accounting system cannot post a ledger without it.

We also collect limited technical data when you visit the site, such as pages viewed and browser type, as described in the cookie policy. This is used to keep the site working and to understand which pages visitors actually need.

We do not ask for payment card numbers, bank credentials, or identity documents through this website.

Why we collect it

Enquiries

Your name, company, and message are used to answer the question you asked and to continue that conversation by email or phone.

Service delivery

Customer records and user accounts are what the accounting service runs on — GST returns, InvoiceNow documents, and IRAS filings are prepared from them.

Legal and tax duties

We keep and use records where Singapore law requires it, including tax and record-keeping obligations that apply to us and to our customers.

Site improvement

Technical data tells us which pages are read and which are skipped, so we can rewrite or remove what does not help visitors.

Where you have agreed to receive communications, we use your contact details to send them. We do not use enquiry data for purposes unrelated to the enquiry.

Sharing and disclosure

We do not sell personal data. Data may be shared with service providers who support the operation of the platform, such as hosting and email providers, under agreements that restrict their use of the data.

We may disclose data where required by law, including to IRAS or other authorities where legally obliged. When a request for information comes from an authority, we check that it is properly made before responding.

Within your own account, access is limited to the users you or your administrator invite. We do not pass your records to another customer, and we do not use them to advertise to your clients.

Who may receive data

  • Hosting and infrastructure providers

They store and run the platform under contract.

  • Email and communication providers

They deliver the messages you and we send.

  • Tax and regulatory authorities

Where a legal obligation or properly made request applies.

  • Your own authorised users

Accounts you or your administrator invite into your business.

Retention

Enquiry data is retained for as long as needed to handle the enquiry and for a reasonable period afterwards, so that a conversation can be picked up again if you return. Customer financial records are retained in line with Singapore record-keeping requirements. When data is no longer required, it is deleted or anonymised.

If you close an account, the records we are obliged to keep stay in place for their required period; the rest is removed. We will tell you which is which if you ask.

Your rights

You may request access to the personal data we hold about you, ask for corrections, or request deletion where we are not required to retain it. Requests can be made using the contact details below. We will respond within a reasonable period and may ask you to verify your identity.

Access

Ask what personal data we hold and receive a copy of it in a readable form.

Correction

Tell us what is wrong or out of date and we will update the record.

Deletion

Ask us to remove data we are not required to keep for legal or tax reasons.

To verify identity we may ask for the email address used on your account or a detail only the account holder would know. This protects your records from being released to someone else.

Security

We apply technical and organisational measures to protect personal data against unauthorised access, alteration, or loss. Access to customer data within the platform is scoped by role, and transaction changes are logged.

No system is entirely free of risk, and we review our measures as the service develops. If you spot something that looks wrong on your account, tell us early rather than waiting for the next filing period.

How access is scoped

  • Role-based access. Users see the parts of the account their role requires and nothing outside it.
  • Logged changes. Transaction edits are recorded so a posting can be traced back to the user who made it.
  • Ongoing review. Controls are revisited as the platform changes, not fixed at launch and left alone.

Cookies

The website uses cookies as described in the cookie policy. You can control cookies through your browser settings. Disabling certain cookies may affect how the site functions.

The consent choices you make are stored so the site does not ask again on every visit.

Read the Cookie Policy

What the site stores

  • Essential cookies keep the site secure and working while you move between pages.
  • Preference cookies remember choices such as your consent selection.
  • Analytics cookies show which pages are read, so we can improve the content on them.

Changes to this policy

We may update this policy to reflect changes in our practices or legal requirements. The current version is always published on this page. Material changes will be communicated to customers where appropriate.

If a change affects how we use data you have already given us, we will say so plainly rather than relying on you to compare versions. Where the change requires your agreement, we will ask for it before the new practice starts.
